If you receive an email stating your mailbox is "Approaching mailbox limit" and you are using Outlook 2010, the following steps will help you to reduce your mailbox size.
Outlook 2010 Instructions:
Click on "File", then "Account Settings"
Double click on the email account you want to manage (E-mail tab)
Click "More Settings..."
Click "Advanced tab"
Under "Delivery", Change "Leave a copy of messages on the server" from 14 to 7 days, or uncheck the box altogether
Click OK --> Next --> Finish --> and then Close
Note: The default installation of Outlook 2010 automatically keeps a copy of messages on the server for 14 days, which was not the case in earlier versions.
Webmail Instructions:
To clean out saved messages in Webmail that you no longer need, follow the instructions below.
Log into webmail (http://webmail.holidayinnfresno.com)
Click "Options" (top right of page)
Under "Additional Options" column, click "Preferences"
Change "Save Sent Messages" to "No"
Click "Save" at bottom of page, then "Ok"
Click on "Sent" items folder, and then delete messages upi no longer need
Note: When you finish working in webmail be sure to "Logout" and not just close the browser as this will automatically empty the Trash. All webmail item folders are counted toward your mailbox storage quota (e.g. Inbox, Spam, Drafts, Sent, Trash etc.), so be sure to keep these cleaned out as well.
